INTRODUCTION

Danhostel Copenhagen City is an independent legal entity by the name of COPENHAGEN CITY HOSTEL A/S, CVR: 33774141, operating under a license agreement with Danhostel Danmarks Vandrerhjem. Danhostel Copenhagen City is also part of DFE, De Forenede Ejendomsselskaber A/S.

This privacy policy explains how we use any personal information we collect about you when you use our websites, stay at our hostel or consume other services during your stay. In the sections below, we have elaborated on what information is collected, their purpose and which third parties have access to it. 


PERSONAL INFORMATION

In general

Personal information is all kinds of information that to some extent can be attributed to you. We collect and process a number of such information when you use our website, when you sign up for our newsletter, conduct satisfaction surveys, participate in competitions, and not least when you book and complete a stay with us.


Security

We process your personal data securely and confidentially in accordance with applicable law, including the General Data Protection Regulation and the Data Protection Act.

Your information will only be used for the purpose for which it was collected and will be deleted when that purpose is fulfilled or is no longer relevant.

We have taken technical and organizational measures against your information being accidentally or illegally deleted, published, lost, degraded or come to the knowledge of unauthorized persons, misused or otherwise processed in violation of the law.


Purpose

In connection with booking a stay and in the period from arrival to departure at the hostel, it is necessary for us to be able to identify you, not least to be able to deliver your booking as requested, including being able to provide room type, extra bed, breakfast booking, rent of various equipment during your stay, purchases at the bar, etc.

Online: The information is used to identify you as a user and show you the ads that will be most relevant to you, to register your purchases and payments, as well as to be able to provide you with the services you have requested, such as receiving newsletters. In addition, we use the information to optimize and improve our services and content.

 


WHICH PERSONAL DATA DO WE COLLECT?

When using the website

We collect a unique ID and technical information about your computer, tablet or mobile phone, your IP address number, geographical location, and which pages you click on. To the extent that you give explicit consent and enter the information yourself, we also process information such as your e-mail and name when signing up for newsletters, filling out contact forms, etc.

For general use of our website, we also use cookies.


Cookies

The website uses "cookies", which is a text file that is stored on your computer, mobile etc. similarly for the purpose of recognizing it, remembering settings, performing statistics and targeting ads. However, cookies may not contain malicious code such as virus.

The information we collect about you using our website is used to customize and improve our content and to create more value for you.

When booking and during your stay here

When you book a stay, we collect the following information during the process and where necessary:

  • Name
  • Address
  • Email
  • Phone number
  • Number of children and their ages (in connection with booking a stay)
  • Names of fellow guests
  • NationalityCard information when using loyalty cards and / or membership cards in connection with purchases
  • Company information (name, ID number, address, telephone number, contact name, e-mail)
  • Estimated arrival and departure time and possibly flight / travel information
  • Credit card information in connection with purchases
  • Wishes for a stay (eg allergies, etc.)

Additional personal information may be collected upon arrival at the hostel and during your stay. This information can e.g. be:

  • Personal identification cards, such as a copy of your passport / driver's license or similar.
  • Copies of documentation for any expenses incurred
  • Historical data about your previous stays
  • Declarations of consent

In some cases, your personal information will also be transferred to us from other partners who have been involved in your booking process. For example, if you book a stay with us via a travel agent, online hotel booking providers, an airline or via Danhostel Danmarks Vandrerhjem. In each case, the partner will collect the necessary information to carry out your booking request with us and pass on the information to us when the booking has been completed.


Period of storage

As a guest at our hostel, we retain your data for up to 12 months after the end of your stay - or after settling your invoice, in order to recognize you at possible future visits and to ensure the best customer service that suits your preferences.

To enable us to recognize you on repeated visits and ensure the best customer service according to your request (eg for repeated bookings of group stays), we store personal information collected for up to three years after the last activity with us.

Invoices and invoice back-up will be kept as per Danish Fiscal requirements for up to 5 years.

If you agree, we will keep your information on file for a longer period for marketing purposes.

 

Disclosure of information

Data about your use of the website, which ads you receive and possibly clicks, geographical location, gender and age segment, etc. passed on to third parties to the extent that the information is known and if we use third parties. You can see which third parties are involved in the section on Cookies above. The information is used for targeted advertising.

We also use a number of third parties to store and process data. These process information solely on our behalf and may not use it for their own purposes unless required by the authorities, e.g. in connection with the registration of travelers outside the EU / EEA territory and for fiscal reasons.

Limited accommodation details can also be forwarded to a travel agency of your choice involved in your booking.

Disclosure of personal information such as name and e-mail, etc. will only happen if you give your consent. We only use data processors in the EU or in countries that can provide your information with adequate protection.

 

Data processors and data controllers

Danhostel Copenhagen City is the primary data controller in connection with reservations made on our own website and stays at the hostel.

Danhostel Copenhagen City is the data controller for data collected and processed during the web reservation process on our own websites (www.danhostelcopenhagencity.dk). Danhostel Danmarks Vandrerhjem is data responsible for the data collected and processed on their website (www.danhostel.dk).

We are not data responsible for other booking channels and therefore refer to the data policy of the respective websites.

Danhostel Copenhagen City collaborates with relevant data processors to handle specific data processing tasks:

Web hosting, development, consulting and analysis are handled by:

  • Novicell ApS

We have entered into customized agreements with our data processors to ensure that all transferred personal data receive an appropriate level of data protection in accordance with the European Union's General Data Protection Regulation (GDPR).


Marketing

If you accept, we will send / show you information about products and services from our and other hostels connected to Danhostel Danmarks Vandrerhjem, which may be of interest to you. Even if you have given your consent to receive marketing information, you can then withdraw your consent at any time.

You have the right to prevent us from contacting you for marketing purposes or giving your information to other members of DFE and Danhostel at any time. If you no longer wish to be contacted for marketing purposes, please send us an email requesting it at: privacy@cphhostel.dk. For newsletters, you can always use the 'unsubscribe' option at the bottom of the newsletter or send us an email. 

 

Insights and complaints

You have the right to be informed at any time what personal data we process about you (data portability). You can also object to the use of the information at any time. You can also revoke your consent for information about you to be processed.

We also want to ensure that your personal information is correct and up to date. You can ask us to correct or remove information that you think is inaccurate, by email privacy@cphhostel.dk.

If you want to complain about our processing of your personal data, you also have the opportunity to contact the Danish Data Protection Agency.
